Setting Bill Rates
While Ankota will usually help you set your initial bill rates for clients, you will likely need to add or update bill rates in the future. This is an easy process, described below.
In order to set a new bill rate, go to the Main Menu, click Settings, and then click Organization Detail.
Click the Billing Configuration and Bill Codes tabs.
Look to see if the billing rate you need is already set. If not, click Add New Bill Code.
Next, set the Bill Code's name. Please note this is name of the code, not of the client to be billed. Please note that Ankota strongly recommends you adhere to the best practice of naming your Bill Code to match the following formula:
- Bill Codes that are Visit-Based = Bill+ Visit Rate
- For example, a pay code for a visit that is paid at $50 per visit would be listed as Pay50.
- Bill Codes that are Length-Based/Per Unit = Bill + PU + Unit Rate
- A pay code for a visit that is paid at $25 per 15 minutes would be listed as PayPU25
- Bill Codes that are Length-Based/Per Hour = Bill + PH + Hourly Rate
A pay code for a visit that is paid at $25 per 60 minutes would be listed PayPH25
Filling in the rest of the Bill Code data will require you to have some details about the bill code you are preparing. In general, you will need to know:
- What you are going to name Bill Code
- Please note this is not a client name; this is how you are naming this Bill Code per the formula above
- Whether you are paying by length or visit
- If paying by length, whether it is by the quarter-hour, half-hour, or full hour
- This length is referred to as the Time Unit below
- The bill rate associated with the length or visit
Then you will fill in the information as in the example below.
After a billing rate has been set, you will then attach it to a visit type. To do this, go to Settings and Visit Type
Select a visit type that you want to attach the new bill code to. Under Bill Code, set the appropriate Bill Code and Save.
