How to Set up a Co-Payer

A Co-Payer is someone who is paying part of the bill.  This may be a county who is paying for part of the service, or another type of payer. "Co" is key to this payer. They pay partial and another person is responsible for the other portion of the bill (this is usually the client).

To set up a Co-Payer, you will go to the client's record and go to the Client Contact Tab.

Click on Add New to create a new Co-Payer.

NOTE: If the co-payer is going to be used for more than one client like a county payer, you will want to make the Co-Payer a master contact. Then you can assign this master contact to more than one client.

Once the contact information has been created, you will click on "Add as Payer".

A pop-up box will appear and you will have the following options:

Be sure that "Is Payer is selected"

Then, determine the hours, amount or percentage.  NOTE: This is typically amount or percentage.

Check the box "Co-Payer".

Then Save.

If the client is responsible for the other portion of the bill, you do not need to set anything else up. If another payer (like a family member) is responsible for the other half, then you will set up the family member the same steps as above with the other party's information.

Once this is set up, you will go to the Configuration tab in the client's record and check Bill to Payer and then Save Configuration:

The above steps are how to enter a Co-Payer.  If someone other than the client is handling 100% of the billing (like a family member), then you will want to refer to this article on Separating a Billing Address from a Service Address.
